Free printable daily planner template: your top three and the day by the hour
Write the three tasks that would make today count, mark the goal each one moves, and give them an hour on a schedule that starts and ends when your day does. Calls and errands go on a short to-do list. The planner prints on one A4 or Letter page or saves as a PDF. It's free, and nothing you type leaves your browser.
Plan your day
Fill in as much as you like. The planner beside the form fills in as you type and prints on one A4 or Letter page.
Print this page for a blank daily planner to fill in by hand, with a row for each hour from 6 am to 10 pm: use your browser's Print command (Ctrl+P, or Command+P on a Mac).

How to fill in the planner
Five minutes, the evening before or first thing. Four moves.
-
Start with the top three
Write the three tasks that would make today count if nothing else got done, and mark the goal each one moves. Errands don't belong here; they go on the to-do list.
-
Give each one an hour
Find a free hour for each of the top three before anything else fills the schedule. A review of 94 tests by Peter Gollwitzer and Paschal Sheeran found that plans spelling out when, where and how you'll act had a medium-to-large effect on reaching goals.
-
Leave some hours empty
Add what's fixed, like work, classes and meals, then stop. In a series of studies, Roger Buehler and colleagues found people expected to finish tasks sooner than they did, and in one study the bias went away when people connected the estimate to how long similar tasks had taken before. The empty hours are where the overrun goes.
-
Fit the rest around it
Calls, errands and small jobs go on the to-do list, for the gaps between blocks. What doesn't fit today moves to tomorrow's planner on purpose, or comes off the list.
When the day runs over
Few days go exactly to plan. Here's what to do when yours doesn't.
-
A meeting took the hour you'd blocked.
Move the task to the next empty hour today and write the new time on the sheet. Only push it to tomorrow if no hour is left, and then give it tomorrow's first one.
-
Everything took longer than its hour.
That's the usual pattern, not a failing. Tomorrow, give the same kind of task the time it took today rather than the time you hoped, and keep an hour or two empty.
-
The top three didn't happen.
Look at what filled the day. If it was messages and small jobs, give the first of the three tomorrow's first hour, before you open anything else.

Questions, answered
What should a daily planner template include?
A daily planner needs the date, the hours of your day and room for tasks, with a box to tick beside each one. This one is laid out in the order you plan. Up to three goals go at the top, marked A, B and C. The day's top three come next, each with the goal it moves. An hourly schedule runs from the hour your day starts to the hour it ends, and a short to-do list and a few lines for notes take the rest. On paper the schedule runs down the left and the lists down the right, so the times and the tasks sit side by side.
Is the template free, and does it save what I type?
It's free, and it saves nothing. There's no account or sign-up. What you type stays on this page in your browser: it isn't sent to us or to anyone else, and no AI reads it. Close or reload the tab and it's gone, so print the planner or save it as a PDF before you leave. If you'd rather write by hand, leave the form empty, pick the hours your day starts and ends, and print the blank planner.
How do I print the planner or save it as a PDF?
Press Print or save as PDF, then choose where the planner goes in your browser's print dialog. In Chrome and Edge, set the destination to Save as PDF. In Firefox, choose Save to PDF. In Safari on a Mac, open the PDF menu at the bottom of the dialog and choose Save as PDF. On Android, pick Save as PDF from the printer list. On iPhone and iPad, tap the Share button in the print options, then Save to Files. The planner fits one A4 or Letter page, so leave the scale at its default. Your browser may add the date and the page address in the margins; you can turn those off in the same dialog.
Do I need a daily planner, a weekly planner or a to-do list?
It depends on how fixed your day is. A planner with hours suits days built around set times, like shifts, classes or meetings, where a task needs its own hour to happen. A plain list suits days you shape as you go: the to-do list template has the top three and room for seven more, with no hours. The weekly planner template works a level up, saying what the week is for and which day each task goes on. Plan the week once, then fill in each day's planner from it, the evening before or first thing.
Can I keep this planner in LeapSteps instead?
Partly. LeapSteps is our app, a to-do list where any task can link to a goal's next step. The Plan tab's Today shows what's due today, each task can have a due date and a due time with a reminder, the Calendar shows your tasks by day, and the Do tab's focus timer keeps one task in front of you while you work. What it doesn't do is lay out an hourly timeline or move blocks around for you, so the schedule itself works better on this sheet. It can't import the planner, so you'd type the tasks in again. LeapSteps is free to start, and Pro comes with a 7-day free trial. The template stays free either way.
Keep the day next to the goal
LeapSteps keeps today's tasks on your phone or computer, where each one can point to the goal it moves, carry a due time and a reminder, and get a focus session on the Do tab. LeapSteps is out now on iPhone, iPad, Android, Mac and Windows.
